      Translation Management System (TMS) Setup guide - Closed Beta

      The Translation Management System (TMS) is a new platform within Gridly that can function independently from the Content platform. TMS enables you to manage your translation projects with ease and optimize your localization process. 

      Currently in closed beta, TMS provides a range of tools designed to streamline and enhance your translation efforts. To maximize its benefits, you’ll need to prepare and set up a few materials: content files, localization resources, and QA rules.

      Prerequisites

      TMS must be enabled for your company. Ensure you can switch from the Content platform to the TMS platform as shown in the screen below. If you cannot, please contact our support team for assistance.

       

      Ensure files are ready for translation

      First, obtain a file containing the strings you need to translate. This could be documentation, a PowerPoint file, or a resource file exported from your tech stack. You will later import this file into Gridly TMS for translation.

      Gridly supports various file types, including DOCX, PDF, CSV, PO, SRT, XLIFF 1.2, XLIFF 2.0, PPTX, and HTML.

      Prepare localization resources

      To enhance translation quality and reduce turnaround time, you can leverage these localization resources within the TMS. Make sure you update these resources in Localization settings

      Translation memory (TM)

      A Translation Memory (TM) is a database that stores previously translated text segments, making them easily reusable in future translations. In the pre-translation phase, you can use the TM to automatically populate all matching segments from the assigned TM database into your translation files, saving both time and cost. While translating, you can also refer to the TM directly within the Gridly CAT editor.

      If your translations are stored in the assigned TM database, we'll automatically apply them to your translations. The <100> indicates the matching rate between the source string and the existing segments in the TM.

       You can import existing TMs or create a new one under TM settings to save translations for future use. Import your existing TM by click + Create TM, then click Import TM next to the TM you just created

      Glossary

      A Glossary is a database of specific words or expressions related to a particular subject. Using a Glossary improves translation quality and minimizes communication and adjustment time between localization managers and translators.

      Setting up a Glossary in Gridly is easy, you can add terms and terms details manually or by importing a CSV/TBX file in Glossary setting.

      Non-translatable list

      Non-translatable list includes words, abbreviations, names, and expressions that should remain untranslated. Adding a non-translatable list helps translators avoid errors and ensures translation quality. 

      Non-translatable list can be created in the Localization settings.

       

      Setup quality assurance rules

      Define the criteria for automatic checks in AutoQA management and let Gridly identify translation errors. This helps speed up the LQA process, cutting down on both time and labor costs for manual QA efforts. 

      Invite translators

      Invite translators to Gridly and assign tasks so they can begin translating immediately. Track their progress directly within your TMS project.
