      Tasks in Gridly TMS

      Tasks in Gridly TMS are the lowest-level units that make up a Job. Each Task represents a specific assignment to translate source content into a target language and is assigned to individual vendors (translators, proofreaders, etc.). Assignees can complete Tasks using Gridly's Cat editor or third-party CAT editors based on workflow settings. 

      Alternatively, you can use localization export to generate translation files for Tasks and reimport them after translations are completed, providing flexibility in how translation work is managed and delivered.

      How Tasks are created in Gridly TMS

      Tasks in TMS are automatically generated when you create a Job, based on the number of target languages and the chosen workflows. For example, a Job under the Translate-Proofread workflow consists of 10 tasks:

      • 5 translation tasks for each of the 5 target languages
      • 5 proofreading tasks for each of the 5 target languages

      View and edit Task properties

      To see all Tasks in a Job, click on its name.

      Click on the corresponding cells to change Task properties:

      • Priority
      • Assignee
      • Status
      • Due date

      There is also a summary of to be translated word count, completed word count, completed word percentage. 

      Important: To get the latest statistics about your Tasks, click the Refresh statistics button.

       

      Work on tasks

      Export and import Tasks

      You can export tasks from Gridly TMS to begin translation in your preferred editor, and later import the completed translation files.

      1. Clickon the Task you want to export.
      1. Configure the export settings and click Export.

      To import files into a TMS Task:

      1. Clickon the Tasks into which you want to import.
      1. Configure the import settings:
        • Updating workflow status: Select which segments will be confirmed upon import. Confirming a segment means translation for that is complete. Learn more about confirming segments.
          • All imported records confirmed: All imported segments will be confirmed.
          • All Up-to-date imported records confirmed: Only segment with Up-to-date status will be confirmed.
          • Do not update status: No segments will be confirmed upon import.
      2. Select a file to import. You can select multiple files by clicking Add more files.
      1. Click Import all.

      Use Gridly CAT to work on Tasks

      If Category type is Gridly, click on Task name to open the Task in the CAT editor.

      Use memoQ to work on Tasks

      If Category type is memoQ integration, you can push TMS Tasks to memoQ for translation. Learn how in this guide.

      Use Phrase to work on Tasks

      If Category type is Phrase integration, you can push TMS Tasks to Phrase for translation. Learn how in this guide.

      Deliver Tasks to Gridly CMS

      If a Job is created by pushing a CMS Grid to the TMS module, you can deliver its Tasks back to Gridly CMS individually.

      1. Clickon the Task you want to deliver.
      2. Click Deliver.
      3. If the delivery is successful, a notification will appear in the right corner. Click on the Grid name in the notification to go to the Grid in Gridly CMS.

      Tasks delivered to Gridly CMS will not be imported to the Grid immediately. You can review the delivery to decide whether to import or reject it:

      1. In your Grid, click theicon on the right-hand side toolbar.
      2. Switch to the Pending deliveries tab.
      1. In this tab, you will see the pending deliveries for each language. For each delivery, you can select one of these options:
        • Auto import: Clicking this button will immediately import the delivered content into the Grid.
      • Manage import: Select this to review the delivered content. Click Import in the Review delivery screen to import content to the Grid.
      • Reject: Select this to reject the delivery.
